ROLE OVERVIEW: Under the supervision of the Head of administration, Logistics, and Maintenance, the incumbent shall be responsible for the management of all physical assets from acquisition to disposal.
ROLE AND RESPONSIBILITIES: · Ensure All Fixed Assets are properly classified and recorded in the SAP System. · Develop A numbering cataloging System for Identifying, classifying, and recording fixed assets. · Prepare periodic fixed assets updates to management and the leadership team. · Conduct Periodic Disposal of Assets in Line with the ECOWAS Financial Regulations and Manual of Accounting Procedures. · Organize the continuous evacuations of old and obsolete items littering the premises. · organize periodic disposal exercises in All Institutions and Agencies. · Developing and maintaining fixed asset accounting procedures in accordance with Headquarters’ guidelines. · Supports the strategic property management function. · Making recommendations on improvement of asset utilization and disposal. · Reviewing and updating standard costs to be applied in the system of records for fixed asset acquisitions. · Monitoring implementation of KPIs to identify areas for improvement, · Ensuring compliance with Asset management policy and preparing reports and trend analysis. · Preparing audit schedules relating to fixed assets. · Maintaining fixed asset sub ledgers including data entry or import of capital equipment into fixed asset sub-ledgers and review of supporting documentation. · Confirming the accuracy and completeness of fixed asset records including system updates, manual journal entries, account reconciliations, and analyses. · Maintains the fixed asset accounting framework established by Headquarters and detailed in standard operating procedures (SOPs) by engaging with other stakeholders to ensure proper and efficient accounting methods as well as understanding the business needs as it pertains to fixed asset accounting transactions and reports. · Perform any other task assigned by the supervisor.
ACADEMIC QUALIFICATION AND EXPERIENCE · Bachelor’s degree in Business Administration, Public Administration, Urban & Regional Planning, quantity surveying, Architecture, or a related field from a recognized University. · 5 years of progressively responsible experience in finance, administration, budget, business administration, or a related area with significant experience in fixed asset management in an international setting is required. · Knowledge of procurement policies, processes, and procedures and of purchasing and accounting techniques; good judgment and knowledge of financial rules and regulations; ability to research and gather information from a variety of sources. · Ability to research, collect, record, and preserve all relevant internal control measures and information (including electronic format) ensuring that a comprehensive information chain is established and maintained. · Knowledge of all operational processes to identify and evaluate weaknesses in surveillance controls; ability to strengthen processes to actively mitigate/eliminate the potential for non-compliance and breach of ethics; ability to create pattern analysis and statistical models of processes and controls to detect anomalies/weaknesses.
